Seminars & Bootcamps
If you're preparing for a Seminar or Bootcamp, Gymdesk has the functionality to ensure you can launch your seminar/bootcamp smoothly — including waivers, bookings, and student sign up.
You’ve got two great options depending on whether this is a one-day seminar or a multi-day event:
Option 1: Scheduled Session (Best for 1-day seminars)
If your seminar is just a one-day event, you can keep it simple using Bookings + Automation.

Add your seminar session under Gym > Schedule

Enable Bookings for the class

Create a new Automation:

Go to Marketing > Automations > Create

Set the trigger as New Booking
-
Filter to the specific seminar class

Add the "Add Document" action to attach your waiver

Setting this automation is really simple and this is how it looks:
This ensures the waiver is sent the moment someone books, without needing a new membership.
You can then share the booking link with students. When they register, they'll be prompted to sign the waiver automatically, and you can easily manage attendees from your calendar view.
Option 2: Membership with Specific Dates (Best for multi-day events)
To run a seminar or workshop over several days, or if you want more structure with payments and tracking, the cleanest approach is to create a Membership with Specific Dates. This allows you to:

Control access with a clear start/end date

Trigger the waiver automatically upon sign-up

Offer online registration with a custom form

Track payments, attendance, and participant list easily
Here’s how to build it:

Go to Members > Membership Options > Add Membership

Under Duration, choose Specific Dates

Set your seminar’s Start and End date

(Optional) Enable “Schedule first payment to membership start date” if you want to delay charges

Under Access to Training, assign the seminar’s class or program

Save
Then create a dedicated sign-up form:

Go to Members > Sign-up Forms > Add Form

Attach only the seminar membership

Adjust visibility (website, link-only, or embed)

Enable waiver signing during sign-up

Attach all necessary documents to this form
Once set up, any student signing up through this form will:

Be automatically enrolled for the seminar

Sign the waiver during registration
-
Show in your member list with access tied to that seminar
