Reports & Data Exports in Gymdesk

Gymdesk includes a variety of reports, dashboards, and exportable data views across Members, Attendance, Billing, Marketing, Sales, and more. Because reporting tools are located throughout different areas of the platform, it can sometimes be difficult to know where to find specific information or which reports support exporting.

This guide provides a central overview of the reporting tools available in Gymdesk, where to locate them, what each one is used for, and whether the data can be exported.

 

What Data Can Be Exported?

Gymdesk allows you to export the following types of data as .CSV or PDF files:

  • Member lists that match specific filter criteria such as attendance, rank, billing status, programs, tags, documents, and more
  • Attendance records that can be filtered by a specific time period, the individual class (session) name or who was teaching
  • Promotion reports for member rank progress, promotion readiness, attendance requirements, skills, and age ranges
  • Billing reports for tracking revenue, payments, and financial activity
  • Marketing reports for exporting lead data and analyzing lead generation efforts
  • Sales reports for reviewing Point-of-Sale transactions and product revenue
  • Payroll reports for exporting payroll information over a selected reporting period

 

View-Only Dashboards & Analytics

Some reporting tools in Gymdesk provide visual dashboards and analytics that can be viewed directly within the platform but cannot currently be exported. These dashboards are designed to help you monitor trends, growth, revenue, lead generation, and other key business metrics at a glance.


How to Save Non-Exportable Dashboard Reports

If you need to save or share the information displayed in a dashboard, use your browser's Print function and choose Save as PDF.

    Export Filtered Member Lists

    Member exports allow you to create customized lists of members based on dozens of different criteria. Whether you're creating a marketing list, identifying inactive members, exporting birthdays, or finding members in a specific program, the Member Report gives you the flexibility to build exactly the list you need.

    Navigate to: Member List → Export Button

    Available exports include:

  • Member Report – Export members using filters like attendance, membership status, programs, rank, billing status, tags, custom fields, birthdays, and more.
  • Full Customer Export – Export all Members, Visitors, and Leads from Settings → Members → Import / Export / Merge for backups or migrations.

    Export Attendance Records 

    Gymdesk includes several attendance reports, each designed for a different purpose depending on the information you need.

    Navigate to: Members → 
Attendance

    Available reports include:

  • Check-ins – Export every individual member check-in over a selected date range.
  • Promotions – View promotion progress and export members who are ready for their next rank.
  • Members – View attendance totals by member.
  • Sessions – View attendance totals for each class or session.

    Billing Reports & Exports

    Billing reports help you monitor revenue, payments, and overall financial activity within your gym. Depending on your needs, you can export revenue summaries or review detailed payment records to support accounting, reconciliation, and financial reporting.

    Available reports include:

  • Accounting – Export total revenue over a selected date range, with filters for memberships, programs, transaction types, and payment methods.

    Navigate to: Billing → Accounting

  • Payments – Export paid, scheduled, overdue, refunded, cancelled, and chargeback payments.

    Marketing Reports & Exports

    Marketing reports help you track lead generation and export your lead database for follow-up, reporting, or analysis. Use these reports to identify where leads are coming from, organize your contacts, and better understand the effectiveness of your marketing campaigns.

    Navigate to: Marketing → Leads List

    Available reports include:

  • Leads – Export leads using filters such as lead source, lead capture form, tags, contact information, and custom fields.

    Sales Reports & Exports

    Sales reports help you monitor Point-of-Sale activity, track product performance, and review individual transactions. Whether you're reconciling payments, looking up a customer's purchase history, or analyzing product revenue, these reports provide detailed insights into your sales data.

    Available reports include:

  • Sales – Export every Point-of-Sale transaction, including customer, staff member, product, invoice, and payment information.

    Navigate to: Sales (Point-of-Sale) → Sales Tab

  • Sales Report – View product revenue grouped by product or variant.

    Navigate to: Sales (Point-of-Sale) → Report Tab

    Payroll Reports

    Payroll reports help you review staff payroll information for a selected date range. The Payroll report displays payroll totals based on each staff member's configured payroll settings.


    Navigate to: Gym → Payroll

    Helpful Tip

    After selecting a new date range, click Change Dates to refresh the report.
