# Competitions in Gymdesk: Connect with Smoothcomp

Find Smoothcomp tournaments, register your members, and view their results directly in Gymdesk through the Competitions tab. Available to martial arts gyms in the main left-hand menu, the tab is included in every Gymdesk plan, including free trials.

### **Use the Competitions tab to:**

- Find upcoming Smoothcomp tournaments near you
- Recommend events to your members
- Register members with their details already filled in
- See who's interested, registered, and paid
- See results come back onto each member's record after the event

**Good to know** Smoothcomp is a separate tournament platform used by event organizers. Brackets, scheduling, scoring and payment still happen on Smoothcomp. Gymdesk is where you organize who's going and see what came back.

### **Step 1: Connect your academy to Smoothcomp**

A gym owner or admin only needs to link your Gymdesk account to your Smoothcomp academy once. After linking, your academy's competition history fills in automatically, including events, registrations, and podiums from before you connected.

1. Go to **Settings**, or open the **Competitions** tab and use the connection prompt.
2. Sign in to your Smoothcomp account.
3. Choose your academy.

**You can explore before connecting.** Browsing events, opening event pages, and endorsing events all work without a connection. You'll need to connect before you can add or register members.

### **Step 2: Find events and recommend them to members**

The **Discover** page lists upcoming Smoothcomp tournaments, grouped into rows such as events your members are interested in, events closing soon, and events closest to you.

- Search by event name.
- Filter by date range, distance, and sport.
- Set your own sport and distance preferences. Distance is measured from your gym's main address.

**Smoothcomp events only** Only events run on Smoothcomp appear here. Tournaments run on other systems won't show up.

#### **Endorse an Event**

Endorsing an event tells your members "this is one we're going to."

1. Open the event.
2. Select **Endorse** and add a short note in your own words. Your name appears with it.

Your members then see the event marked **Academy Approved** in their own Competitions view, with your note. They can say they're interested or that they're not going. You can remove an endorsement at any time.

Event pages show registration deadlines and pricing tiers. Gymdesk doesn't send automatic alerts about new events or deadlines, so check the Discover page when you're planning.

### **Step 3: Register members and track who's paid**

There are two ways to register a member. Both use a form that's already filled in from the member's Gymdesk record.

- **Invite the member to register themselves.** They get an email with a registration link.
- **Fill in the form for them.**

The form brings over the member's name, contact details, date of birth, and belt. Your academy is filled in automatically and can't be changed, so registrations always land under the right academy. Belts are matched to Smoothcomp's skill levels for each sport.

Entry options, discounts, and eligibility rules come from Smoothcomp, so you'll see the same choices the member would see there.

#### **Payment**

The athlete pays on Smoothcomp's checkout, the same as before. After the form is submitted, they're taken to Smoothcomp to pay, then back to Gymdesk.

#### **See who's in and who's paid**

Open the event and go to the **My Academy** tab. Your members are grouped by where they stand:

| Status | What it means |
| --- | --- |
| Invited | You sent them a registration invite |
| Interested | They said they're interested |
| Registered | Their registration is submitted |
| Paid | Their payment is complete |

Registered and paid are shown separately, so you can tell an unpaid entry from a confirmed one. Payment status updates when you open the page.

#### **Send Reminders**

From the **My Academy** tab or the **Endorsed** page, you can remind members who haven't registered, remind members who haven't paid, or resend an invite. Each button shows how many people it will reach. Nothing is sent automatically.

#### **Change or Cancel a Registration**

Registrations are changed or cancelled on Smoothcomp. Open the member's registration in Gymdesk and use the link to go straight to it.

### **Step 4: See results after the event**

After a tournament, results come back into Gymdesk automatically. Results show the event, division, and placement, with a link to the full bracket on Smoothcomp. You'll find them in three places:

- **Academy Stats.** Your gym's events, registrations, and podiums over time, compared with last year, plus a month-by-month participation chart.
- **Athlete Activity.** Every member, with when they last competed, how many events they've entered, and how many podiums they've earned, next to their belt and attendance.
- **The Member's Profile.** Open the Competitions tab to see their current registrations and competition history, organized by event.

**Match notes** Coaches and staff can add notes on a match from the member's competition history. Notes written in Coach Companion on tournament day also appear there, marked as synced, once the results are published. Members can't see match notes.

**Members marked as "not linked"**

Members are matched to their Smoothcomp results by name and email. If there isn't a clear match, Gymdesk shows the member as not linked instead of guessing. Once the member links their own Smoothcomp account, their history fills in.

 

### **Tournament Day**

The Competitions tab is for planning before an event and reviewing results after it. For the day itself, use **Coach Companion**, a free app for iPhone and Android. It shows your athletes' matches in order, lets you assign a coach to every athlete, and alerts you when matches clash. Because your academy is connected, notes you write in the app show up on each member's competition history in Gymdesk.
